Density arguments end in the headset

Run structured sessions
Give each participant a route and three specific questions rather than free exploration. A landlord uses VR to help a prospective tenant see their team in a floorplate before signing. A tenant uses it to settle internal decisions after signing. Once the layout is approved, the same environment helps with change management: staff who see their new workplace before moving day arrive with fewer objections. This is a low cost extension of an asset already built, and it addresses the part of a relocation that most often goes badly.
Furniture and technology have to be real
Generic desks and abstract meeting tables undermine the whole exercise, because the committee is trying to judge whether the actual furniture package fits the actual floorplate. Model the specified desk footprint, the chair swept area, the monitor arms and the screens in the meeting rooms. Technology placement is the detail most often missed and most often regretted: where the display sits, whether the camera can see everyone at the table, and whether someone walking past a glazed room appears on every call. Those are cheap to fix in the headset and expensive to fix after the fitout is built.
