The administrative layer
This is the part most often missing from a quote and most often needed in week two. Someone on your team has to mark a unit leased. Establish who that is, what they can change without help, and how quickly the change appears live. If every update is a support request, the plan will drift out of date and the sales team will stop citing it.
Hosting, uptime and what happens if you stop paying
Interactive plans usually run on the vendor's infrastructure and carry an ongoing fee. That is a reasonable model, but it means the asset stops working if the relationship ends. Ask explicitly what happens at termination, whether a static export exists as a fallback, and whether the plan images remain yours. This is the single most consequential commercial term in the agreement.
Analytics
Ask what is tracked and whether you can see it. Unit views, filter usage, drop off points and inquiries attributed to a specific unit are all recoverable and all useful for pricing decisions rather than only for marketing reports. A package without analytics is discarding the main advantage interactive assets have over static ones.
Timelines and dependencies
The interactive build usually cannot start until the plans are final, so the two schedules are sequential rather than parallel for most of their length. A pre signature checklist
Confirm plan file delivery, the administrative interface, hosting and termination terms, analytics access, mobile behavior, the embed method for your specific platform, and the number of revision rounds on the interface design rather than only on the drawings. Seven answers, and the rest of the project is usually uneventful.
Ongoing cost, stated plainly
Ask for the annual cost of ownership as a single number rather than as a build fee with unspecified extras. Hosting, support, availability updates, seasonal content changes and any per unit licensing all belong in it. A build quote that looks favorable against a competitor sometimes reverses over three years once the recurring side is included, and three years is a short holding period for a building. Comparing bids on first year total rather than on build price alone is the only way to see the difference before you sign.
