What a Finish Configurator Needs Before Production

Configurator projects rarely stall because the visualization is difficult. They stall because production starts before anybody has established what a product actually is, and the work halts while somebody chases a supplier reference for a floor tile described in the option book as a colour name.

The preparation is unglamorous and it is where the schedule is decided. A builder who arrives with structured product data and current drawings gets imagery quickly. A builder who arrives with a marketing brochure and a spreadsheet of names gets a research project first.

This guide sets out exactly what has to exist before production, what can genuinely be resolved in parallel, and how to prepare a catalogue so the work runs at the pace everyone assumed it would.

The three inputs that block everything

If any of these is missing, production cannot start in a meaningful way, and starting anyway produces work that has to be redone.

1. Drawings of the spaces being visualised

Plans and elevations for each room that will appear, at a level of detail that establishes dimensions, ceiling heights, window positions and cabinet runs.

Marketing floor plans are usually insufficient because they omit heights and window head positions, and both decide how light enters the room. Construction drawings are the reliable source, and where a plan is still in design the honest answer is that the scene will need rebuilding when it settles.

2. Product identification, not product names

This is the single most common blocker and it is worth being blunt about. A line in an option book reading Warm Oak Plank is not a product. It is a description that could correspond to any of a hundred products with visibly different grain, sheen and colour temperature.

What production needs is the supplier, the product line and the specific colour or finish reference, ideally with the supplier code. With that, a material can be authored to look like the thing the buyer will actually receive. Without it, a plausible approximation is produced and the shortlist collapses the first time a buyer sees the physical sample.

3. The option structure

Which options belong to which tier, which plans each applies to, and which combinations are permitted. This is what decides how many distinct images the tool needs and how they are grouped.

It does not have to be final in every detail, but the tiers being visualised first have to be settled, because tier structure is what the imagery is arguing about.

What helps considerably but does not block

Physical samples or high resolution product photography. Reference for authoring materials accurately, particularly for sheen and pattern scale. Supplier data sheets often carry this.

Existing renderings of the same plans. If marketing visuals already exist, the geometry and lighting may be reusable, which is the largest single saving available.

Photographs of a completed home. Enormously useful for validating that the rendered room resembles the delivered one, which is the standard the imagery will eventually be judged against.

The platform decision. Useful for understanding delivery format and naming conventions, but production can begin before a platform is signed if the option structure is known.

What can be decided later without cost

Worth stating, because uncertainty about these tends to delay projects unnecessarily.

Camera angles and composition, which are production decisions rather than client ones. Which lighting conditions to include beyond the first, since additional conditions are additive rather than structural. Marketing copy and labelling, which sit outside the imagery. Which low salience rooms to add in a later phase.

None of these hold up the kitchen, and the kitchen is where most of the value is.

How to turn an option book into production-ready data

A sequence that takes less time than it appears to and saves considerably more.

Start from what purchasing can actually source. Not the marketing option book, the current supply reality. Any product that cannot be ordered today should not be visualised or offered.

Add the supplier reference to every line. This is the step people skip and it is the one that determines whether materials are real or approximated.

Group by material rather than by plan. Production authors a product once and applies it everywhere, so a list organised by product is directly usable while one organised by plan has to be reorganised first.

Mark the tier each option belongs to. The visible difference between tiers is the commercial argument the imagery has to make, and it cannot make it if the tiers are not identified.

Flag anything with a lead time that could make it unavailable late. Better known before production than discovered by a buyer.

The questions production will ask, and why

Answering these up front removes most of the back and forth.

What sheen is this finish? Matte, satin and gloss behave completely differently under light, and the same colour in two sheens reads as two different products.

What is the pattern repeat or slab size? Decides whether veining reads across a large surface or tiles visibly, which is exactly what a buyer notices later.

Which direction does this room face? Orientation decides the lighting condition, and a room lit generically is a room lit wrongly for most of its occupants.

What is the ceiling height? Changes proportion, reflected light and how a cabinet run reads. Frequently absent from the drawings supplied.

Is this the standard or an upgrade? Determines what the image has to demonstrate, because a standard needs to look decent and an upgrade needs to look worth the money.

Sequencing that keeps a project moving

Production does not have to wait for a complete catalogue, and treating it as though it does is how these projects sit idle for months.

The workable sequence is to settle one room and its full option set, produce it end to end, and review the result before extending. The first room resolves the questions that would otherwise be relitigated on every subsequent one: lighting approach, level of realism, how tiers are differentiated, how materials are named and delivered.

Once that is agreed, the remaining rooms proceed in parallel with far less supervision, and the catalogue for later phases can be prepared while earlier phases are in production.

Builders who insist on finalising everything before anything starts almost always finish later than those who settle one room first.

What goes wrong when preparation is skipped

Materials get approximated. Products described by name rather than reference produce plausible lookalikes, and the shortlist fails in the studio.

Scenes get rebuilt. Production against a plan still in design means redoing geometry when it changes, which is the most expensive kind of rework.

Lighting gets genericised. Without orientation and window information, the safe choice is neutral light, which is the condition that misleads buyers most.

Invalid combinations get produced. Imagery made for combinations the rules will later prohibit is money spent on images nobody will see.

The catalogue changes mid-production. Unavoidable occasionally, expensive systematically, and almost always a symptom of starting before the option book was settled.

Preparing the drawings specifically

Drawings arrive in every imaginable state and a few practical details decide whether they are usable immediately or need a round of questions first.

Include elevations, not only plans. A plan establishes the footprint. Elevations establish cabinet heights, backsplash extents, where a run stops and what happens above it, all of which are visible in the final image.

Give ceiling heights explicitly. They are frequently absent from marketing sets and they change the proportion of every surface in the room as well as how light falls.

Mark window sizes and head heights. Light entering high behaves differently from light entering low, and the difference is obvious in a render of a floor finish.

Identify the north point. Without it there is no way to light a room honestly, and generic lighting is the condition that misleads buyers most.

Say which revision is current. Producing against a superseded drawing is a silent error that surfaces only when somebody compares the render to the built room.

Preparing the product data specifically

The same principle applied to finishes, where the failure mode is subtler because a wrong material still looks like a material.

For each option the useful record is supplier, product line, colour or finish reference, sheen, and pattern repeat or slab dimension where relevant. That is five fields and it converts an option book from a list of names into something that can be built accurately.

Where a supplier code exists, include it. Where a physical sample is available, note where it can be sent. Where two options in the catalogue are the same product in different sheens, say so explicitly, because they will otherwise be treated as one and the distinction the buyer sees will disappear.

For stone and any material with natural variation, note whether the intent is to represent a typical slab or a specific one. It changes what is produced and it changes what the buyer should expect, which is a question worth answering before rather than after.

A realistic view of how long preparation takes

Builders consistently underestimate this and consistently blame the schedule on production, so it is worth stating.

Assembling drawings is usually quick, because they exist and somebody knows where they are. Assembling product references is not, because that information often lives in purchasing systems, supplier emails and the heads of two people, and it has never been consolidated in one place before.

The first catalogue is therefore the slow one. Subsequent phases run much faster because the structure exists and only new products need adding, which is why the first room is a poor predictor of the pace of the rest.

The way to compress it is to prepare the tiers being produced first rather than the entire book, and to accept that a partially prepared catalogue that is accurate beats a complete one that is approximate.

A note on who owns this internally

The preparation described here spans departments, which is why it stalls. Purchasing knows what can be sourced. Sales owns the option book. Construction holds the drawings. Marketing commissions the imagery.

The projects that run well have one person accountable for assembling the inputs across those groups, with authority to decide when the catalogue is settled enough to produce against. The projects that stall usually have four people each waiting for another to confirm something.

This is not a visualization problem and no vendor can solve it from outside, but naming the owner at the start is the highest leverage thing a builder can do for the schedule.
